Acceptable Use Policy

This Acceptable Use Policy ("AUP") applies to everyone who uses the Civentry service (the "Service"), under either our Terms of Service or our Commercial Terms of Service, and is incorporated into those terms. It exists to keep the Service safe, lawful, and trustworthy for the community associations that rely on it. If you violate this AUP, we may take the actions described at the end.
You are responsible for what you upload
You may upload only content you have the right to upload. You represent that you have all authority, rights, consents, and permissions needed to upload each document and any personal information it contains, including any resident or member personal information, and that doing so does not violate anyone's privacy or other rights, any duty of confidentiality, or any law, and that you have given any notices required of you.
Do not use the Service to:
Break the law or harm others. Violate any law or regulation; infringe, misappropriate, or violate any intellectual-property, privacy, publicity, or other right; or harass, defame, threaten, or harm any person.
Compromise security or systems. Upload or transmit malware or harmful code; attempt to gain unauthorized access to any account, Organization, tenant, system, or data; circumvent or probe access controls, tenant isolation, rate limits, or other security or protective measures; or disrupt, overload, or interfere with the Service or its infrastructure.
Misuse access. Access data or features beyond the permissions granted to your role; share account credentials; or use the Service to access another Organization's data.
Copy or compete. Reverse engineer, decompile, or attempt to derive the source code of the Service except as permitted by law; scrape or extract data or outputs other than as the Service permits; or use the Service or its outputs to build or train a competing product, service, or AI/ML model.
Misuse AI features. Use the Service's AI features in any way that violates the acceptable-use or usage policies of our underlying AI providers (which we may make available and update). Without limiting that, do not use AI features to generate or facilitate unlawful, deceptive, harmful, hateful, or sexually exploitative content, to attempt to produce dangerous instructions (such as for weapons or attacks on systems), to impersonate others, or to evade safety measures.
Provide unlicensed professional services. Use the Service to provide professional accounting, legal, tax, reserve-study, or financial advisory services to third parties without independent professional qualification and judgment. Civentry's outputs are drafts to support board discussion, not professional advice, see the AI Disclaimer and Financial Disclaimer.
Upload data we ask you not to. Do not upload data outside the intended scope of the Service, such as Social Security numbers, full payment-card or bank-account numbers, or medical or health information. If such data appears in a document you choose to upload, you remain responsible for it.
Enforcement
We may investigate suspected violations and may remove or disable content, and limit, suspend, or terminate access, in accordance with the applicable terms. Where practical and not legally or operationally restricted, we will give notice and, where appropriate, an opportunity to cure; but we may act immediately where a violation poses a risk to the Service, to data security, or to other users, or where required by law. Serious or repeated violations may result in termination without refund.
