Civentry uses artificial intelligence to help boards understand their documents. AI is a powerful assistant, but it is an assistant, not a professional, and not a decision-maker. This document explains, in plain terms, how Civentry uses AI, what you can and cannot rely on it for, and the safeguards and governance practices we apply. It supplements our Privacy Policy, Acceptable Use Policy, and Financial Disclaimer. Civentry offers its service across the United States, and this document is written to apply consistently regardless of the state in which a user is located.
Part 1: Using AI in Civentry (Disclaimer)
AI outputs are drafts for your review
Civentry's AI generates summaries, talking points, red flags, variance explanations, suggested questions, and draft resident communications based on the documents you upload. These outputs are drafts. They may be incomplete, inaccurate, or may misinterpret your source documents.
You must verify all numbers, summaries, red flags, and recommendations against your original documents before relying on them.
We tell you when AI is involved
Civentry discloses where AI is used to produce content. AI-assisted features are identified in the Service, and AI-generated material is presented as a draft for review rather than as a finished or authoritative result. Where you interact with an AI-driven feature, that involvement is disclosed to you.
Nothing is published until a human approves it
No AI output appears on a dashboard, is shared with board members, or is made visible to residents until an authorized user has reviewed and approved it. This human review step is a core part of how Civentry works. The accuracy of what your board sees and shares ultimately depends on that review.
AI is not professional advice
AI outputs are not accounting, auditing, tax, legal, reserve-study, or financial advice. Civentry's AI does not replace:
- accountants, auditors, or CPAs;
- attorneys;
- reserve study professionals;
- community management companies;
- the judgment of your board.
For legal, accounting, tax, reserve, or financial decisions, consult a qualified professional.
Features that touch governing documents
Where Civentry offers features that help you find or understand language in governing documents (for example, CC&Rs, bylaws, or rules), those features surface relevant text and an indication of how directly your documents address a question, they do not give legal advice and do not interpret ambiguous provisions for you. They do not determine whether anyone is in violation, and they do not replace your association's legal counsel. Treat every such output as a starting point for review, not a conclusion, and consult counsel for any binding interpretation.
Limitations you should expect
- AI can misread tables, scanned documents, or unusual formatting.
- AI can omit items or misclassify expenses.
- AI confidence indicators (for example, on financial projections) reflect how much data supports an output, they are guides, not guarantees.
- More history generally improves analysis, but no amount of data makes any output a substitute for professional review.

AI-assisted analysis. Board-approved outputs. Human judgment remains required.
We describe what our AI does in honest terms. We do not claim it is infallible, autonomous, or a substitute for professional judgment.
Your responsibility
By using AI features, you acknowledge that you are responsible for reviewing, verifying, approving, and relying on any output, and for any decision your board makes based on it.
Part 2: AI Transparency & Governance
This part describes how Civentry uses artificial intelligence and the safeguards we apply. It supports our compliance with emerging state AI laws.
Our role: we deploy AI, we do not build it
Civentry is a deployer of artificial intelligence, not a developer of foundation or frontier models. Our AI features are powered by a third-party model provider (Anthropic's Claude). We do not train, fine-tune, or develop foundation models, and we do not operate a large-scale generative AI platform of the kind targeted by laws that regulate model developers or very large platforms.
Humans decide: AI does not make consequential decisions
A defining feature of Civentry is its human review gate: AI outputs are drafts that an authorized person reviews and approves before they are published, shared, or acted upon. Because of this:
- Civentry does not make decisions about individuals through solely automated processing that produce legal or similarly significant effects. People review and make the decisions.
- Civentry does not use AI to make, or substantially replace human judgment in, consequential decisions about individuals, including decisions about employment, housing, lending or financial-account eligibility, insurance, healthcare, education, or an individual's legal rights or status. Our AI helps a volunteer board understand its association's documents and finances; it does not adjudicate individuals.
This design keeps Civentry outside the highest-risk category that several state AI laws are built to regulate, and it is a control we intend to maintain as we add features.
Prohibited and restricted uses
We do not develop or deploy AI for harmful or unlawful purposes, including to encourage self-harm or violence, to facilitate criminal activity, to engage in unlawful discrimination against protected classes, to infringe constitutional or civil rights, or to produce deepfakes or child sexual abuse material. Our Acceptable Use Policy prohibits users from using our AI features for these purposes, and we may suspend or terminate access for violations.
Data used by our AI
AI features are powered by Anthropic's Claude API. Uploaded document content may be sent to Anthropic to generate AI-assisted drafts, and some documents may first be processed by a document-parsing provider (LlamaIndex / LlamaParse) to extract text and structure before AI analysis.
Under Anthropic's current commercial API terms, inputs and outputs are not used to train its models, and Civentry has not opted into any training or model-improvement use. We do not use one association's identifiable data to train, improve, or generate outputs for another association; any cross-association analysis uses only aggregated, de-identified information consistent with our Privacy Policy. Governance and oversight
We monitor the evolving landscape of state and federal AI regulation and maintain disclosure, human oversight, and use restrictions as core controls of the service. We review our AI features as they change to keep these safeguards in place, and we update this document as our practices or the law evolve.
