Notice to Residents
About Civentry and your information
Effective date: June 17, 2026
This notice is provided to community associations to share with their residents. An association may adapt it to fit how it communicates with its members.
Your community association (your "HOA" or its management firm) uses Civentry, a software tool, to help organize its financial documents, prepare for board meetings, and share board-approved updates. This short notice explains how your information is involved.
Your HOA controls your information
Your HOA decides what information to put into Civentry and what to share with residents. When it comes to your personal information, your HOA is in control, and Civentry simply processes that information on your HOA's behalf to provide the software. Civentry does not decide what your HOA uploads or shares, does not sell your information, and does not use it for advertising.
What you see
Civentry helps your board prepare clear, board-approved summaries to share with residents. You see only the content your board chooses to make visible to residents. Detailed financial documents and any draft material stay with the board. Sensitive information, such as individual delinquency details, is kept board-only.
Your privacy choices
You may have rights regarding your personal information, such as to access, correct, or delete it, depending on where you live. Because your HOA controls your information, please direct those requests to your HOA or its management firm first. They can act on your request directly, and Civentry will assist them as needed.
If you have questions about how your HOA uses Civentry, contact your board or management firm. For questions about Civentry's privacy practices generally, see Civentry's Privacy Policy or contact hello@civentry.com.
Keeping information safe
Civentry stores documents privately, restricts access by role, separates each association's data from every other association's, and encrypts data in transit and at rest. You can read more on Civentry's Security & Data Handling page.
